Active workspaces silt up with material that is no longer in use but too valuable to throw away. Archive Curation Process draws and maintains a boundary between the live working space and a preserved historical store, decides which inactive items cross that line, and guarantees that whatever crosses stays retrievable, attributed, and understandable long after the people who made it have gone. Its defining move is relocate-and-preserve, not repair-and-discard: it does not fix, deduplicate, or normalize the material, and it does not simply delete it — it moves it somewhere its provenance and context can travel with it. The everyday store gets lighter and more legible; the record of what came before stays intact and reachable on demand.

Example

A regional broadcaster holds forty years of tape and two decades of digital footage on the same edit servers producers use daily. Searches for last week's segment return hits scattered among the 2003 election coverage and a decommissioned weather graphics package; nobody trusts the results, and disk keeps filling. The Archive Curation Process is the discipline that fixes this. A curator appraises the holdings: current-quarter material stays live; footage with enduring value — historic floods, retired anchors, rights-cleared interviews — is accessioned into the archive; genuinely worthless duplicates are flagged for disposal by a separate step. Each accessioned clip crosses the boundary carrying its metadata: who shot it, when, the rights status, the story it belonged to.

The outcome is two spaces that each do one job. Editors search a lean active store and trust what comes back. A year later, when a documentary team needs the 1998 flood footage, they retrieve it from the archive with its shoot date, rights, and original context still attached — rather than finding an unlabelled file whose meaning died with the producer who made it.

How it works

  • Appraise. Classify each item as active (stays live), archival (enduring value, moves to the store), or out of scope for this mechanism (handed to a disposal or repair step, not decided here). Appraisal is the judgment that separates curation from mere backup.
  • Transfer across the boundary. Move archival items into the preserved store with their provenance, ownership, and contextual metadata bound to them, so the record does not arrive stripped of meaning.
  • Build the finding aid. Maintain the index, catalog, or search layer that makes the archive reachable — an archive nobody can search is indistinguishable from deletion.
  • Re-accession on cadence. Periodically sweep the active space for newly-inactive material and repeat, so the boundary does not silently erode back into a single cluttered heap.

Tuning parameters

  • Appraisal selectivity — how much is judged worth keeping. Loose selectivity preserves more but recreates the clutter inside the archive; tight selectivity keeps the store lean but risks discarding context that later turns out to matter.
  • Retention horizon — how long archived material is kept before disposition review. Longer horizons protect against regret; shorter ones cap storage and legal-exposure cost.
  • Metadata depth — how much provenance travels with each item. Richer metadata makes future retrieval trustworthy but raises the per-item curation cost.
  • Access latency — warm, instantly-searchable storage versus cheap cold storage that takes hours to restore. The dial trades retrieval speed against cost.
  • Accession cadence — continuous curation versus periodic sweeps. Frequent sweeps keep the active space clean; batched sweeps concentrate the curation effort.

When it helps, and when it misleads

Its strength is that it lets the working space stay lean without amnesia: the organization can retire material from daily view while keeping its memory recoverable and attributed. It is the mechanism that makes "we cleared that out" and "we can still get it back" both true at once.

Its central failure mode is the archive that becomes a write-only black hole — material goes in, nothing comes out, because the finding aid was never built or has itself rotted. Over-retention is the twin failure: an archive that keeps everything, indiscriminately, has performed no appraisal[n1] and simply relocated the clutter. A subtler misuse is stripping provenance on transfer for speed, which yields a store full of anonymous artifacts that are, as the archetype warns, worse than no artifacts at all. The guarding discipline is to treat retrievability as the acceptance test: periodically try to find and restore a random archived item, and if that fails, the archive is decorative, not real.

How it implements the components

  • archival_boundary — it is the boundary: the process defines, draws, and maintains the line between active working space and the preserved historical store, and governs what may cross it.
  • information_preservation_channel — provenance, ownership, rights, and context are bound to each item as it crosses, so archived material stays interpretable rather than becoming an anonymous file.
  • order_invariant — the retention policy encodes the property that must survive: archived material remains recoverable with its context, so the curation preserves usefulness rather than degenerating into hoarding.

It does not repair, deduplicate, or normalize the material it moves (cleanup_rule) — that transformation is Data Cleanup Pipeline; Archive Curation relocates artifacts intact. Nor does it surface disorder signals for monitoring (disorder_indicator) — that is Entropy Metric Dashboard.
