A Preventive Inspection is a scheduled, human-performed examination of an asset carried out before failure, whose defining trait among the monitoring mechanisms is the disciplined cadence and the findings log that drive dispatch. Someone qualified, working from a checklist, visits on a fixed interval, records condition and defects into a durable log, and routes each actionable finding to a repair or work-order pathway. Unlike an always-on instrument it is a periodic snapshot by a judgment-bearing observer; unlike an aggregating display it does not roll up or rank — it detects, records, and dispatches. The cadence, the log, and the hand-off to repair are the mechanism; the observing eye is what gives it reach into defects no fixed sensor was placed to catch.

Example

A property manager contracts monthly inspections of the twelve elevators in a high-rise. On each visit an inspector rides every car, checks door-reversal timing, brake-shoe wear, hoist-rope tension, and governor trip, and writes each measurement into a log beside the previous month's entry. Most months everything is within limits and the visit ends with a clean sheet.

On one visit the inspector notices a hoist rope whose surface-wire wear is creeping toward the discard criterion — still legal today, but clearly heading for the limit. The finding goes into the log and, more importantly, straight onto a work order: replace the rope set at the next planned outage, before it reaches the point where the car must be taken out of service on an emergency basis. The value was not the observation alone but that the routine turned it into scheduled repair.

How it works

  • Hold the cadence. Visit on a fixed schedule set to the asset's decay rate and the consequences of missing a defect.
  • Work a checklist. A standardized list keeps every visit covering the same points, while the inspector's judgment catches the off-list surprises instruments miss.
  • Log durably. Record findings and measurements into a persistent record beside prior entries, so a slow worsening is visible to the next inspector.
  • Dispatch the finding. Route each actionable defect to a work order, tag-out, or repair queue — the step that makes inspection preventive rather than merely observational.

Tuning parameters

  • Interval — shorter catches fast-developing defects but consumes inspector capacity and can breed complacency; longer risks missing anything that develops and fails within one gap.
  • Checklist depth — a thorough list improves coverage but lengthens each visit and can crowd out attentive looking.
  • Inspector qualification — more expert inspectors catch subtler decline but cost more and are scarcer.
  • Finding granularity — pass/fail is fast and consistent; graded findings capture early decline but demand more judgment.
  • Sampling vs. census — inspecting every asset every cycle is thorough; sampling stretches capacity but can miss a specific failing unit.

When it helps, and when it misleads

Its strength is human judgment across a wide range of defect types plus immediate dispatch: an inspector notices the thing no one thought to instrument, and the routine turns that notice into scheduled repair before a user is affected.

Its failure modes track the interval and the inspector. A defect that develops and fails inside one inspection gap is simply missed; a rubber-stamped inspection logs "fine" without really looking; and repeated "it was fine last month" observations can quietly ratchet the accepted standard downward until a genuinely bad condition reads as normal — normalization of deviance.[n1] The discipline that guards it is to rotate inspectors so fresh eyes break the ratchet, calibrate the checklist against actual failures, and shorten the interval wherever decay runs fast.
