A Contextual Inquiry Note is the record produced when a researcher sits beside someone doing real work in their real setting, watches the work unfold, and interrupts to ask why at the moment a choice is made — then captures the answer alongside the action. Its defining move is the in-situ, present-tense pairing of observed behavior with the worker's own reasoning, gathered while the work is happening rather than reconstructed in an interview afterward. It is not a detached field observation and not a survey of opinions; it is a partnership in which the worker is the expert on their own practice and the researcher is the apprentice, and the note preserves the roles, relationships, and local vocabulary that make the work make sense — so a design team that was never on-site can act on it.

Example

A UX researcher studying a warehouse's new handheld picking app spends a shift beside a picker named Dara. She watches Dara scan a bin, frown, and override the app's suggested route. In the moment, she asks why. Dara explains that the app doesn't know aisle 12 floods when it rains and that the "fast" route sends you through it — so experienced pickers reroute and the app fights them every time. The note captures the action (override), the reasoning (local knowledge of flooding), the relation (senior pickers quietly teach juniors this workaround, invisible to management), and Dara's own term for it — "the swamp run." The researcher also logs her own stance: she is watching during a dry week, so she is taking the flooding on report, not observing it.

The design team, reading the note, sees what a bug report would have missed: the app's routing conflicts with situated expertise the workers share informally. The redesign that follows adds a rerouting affordance — because the note preserved not just what Dara did but why it meant what it meant on that floor.

How it works

The method's distinguishing discipline is the master-apprentice relationship enacted during live work:

  • Observe in the real setting. Watch actual work in its own environment, not a demo or a recalled account, so situated cues are present.
  • Interrupt at the point of choice. Ask "why did you just do that?" in the moment, capturing reasoning while it is still attached to the action rather than rationalized later.
  • Record roles and relations. Note who the worker coordinates with, who taught them, and the informal structure the work actually runs on.
  • Hold the worker's own terms. Capture their vocabulary for tools, states, and workarounds before translating any of it into design language.
  • Log the researcher's stance. Record what was and wasn't observable during the session and how the researcher's presence may have shaped the work.

Tuning parameters

  • Interruption rate — how often the researcher breaks in to ask why. Frequent interruption captures dense reasoning but disrupts natural flow; sparse interruption preserves flow but loses the in-the-moment "why."
  • Session realism — a genuinely busy shift versus a staged walkthrough. Real conditions surface true workarounds but are noisier and harder to schedule.
  • Relational depth — capturing just the individual, or the whole web of coordination they sit in. Wider capture reveals informal structure but expands scope and time.
  • Framing restraint — how much the researcher translates observations into design terms during capture. Early translation speeds handoff but risks overwriting the worker's meaning with the designer's.

When it helps, and when it misleads

Its strength is that it recovers the reasoning behind work, not just its surface — the tacit, situated knowledge that never appears in a requirements doc because the worker doesn't think to mention it. This is the master-apprentice model at the heart of contextual inquiry: the practitioner leads, the researcher learns.[n1] Because the "why" is captured in the moment, the note resists the retrospective tidying that makes interview accounts smoother and less true than the actual work.

Its failure mode is that the researcher's presence and framing bend what they see: a picker performs a cleaner version of the job with an observer at their shoulder, and a designer already carrying a solution hears confirmation everywhere. The note can also over-generalize from one skilled worker to the whole role. The classic misuse is running "contextual inquiry" as a scripted interview in a conference room — retaining the label while discarding the in-situ, present-tense core that gives it its power. The guarding discipline is to observe real work under real conditions, to hold the worker's terms and reasoning before translating them, and to record the researcher's own stance so a reader can discount for the observer effect.

How it implements the components

  • observer_stance_note — it records what was observable during the session and how the researcher's presence may have shaped the work.

It does not attach the interpretive theory-building trail (interpretive_memo_trail) — that is Analytic Memo; and unlike its nearest twin Ethnographic Fieldnote Protocol, which builds a broad running record of events as they unfold via focal_event_record while staying out of the action, this method deliberately intervenes, interrupting the worker to pair each action with its in-the-moment reason.
