Forces every firing to state its condition, recipient, reason, required action, deadline, and consequence — so a signal that cannot name an action never claims high-salience attention.

An Actionable Alert Template is a fixed fill-in structure a signal must complete before it is allowed to interrupt anyone. Its slots — the condition being flagged, the recipient who owns the response, the reason the interruption is justified, the required action, the deadline, and the consequence of doing nothing — turn a firing from noise into a contract. Its one defining move is a gate: a firing that cannot fill every slot does not earn high-salience routing and is downgraded, batched, or deleted. The template disciplines the content of a single firing — whether it names a real action — and nothing else; it does not decide how loud the firing is, who is on shift to hear it, or how often it may repeat.

Example

A flight-deck human-factors team is reviewing a nuisance caution on a business jet: an amber "FUEL" message that lights whenever a tank sensor twitches. Crews have learned to glance and clear it — exactly the habituation the channel was never supposed to earn. The team runs the message through the Actionable Alert Template. Condition: left-tank feed pressure below limit, engine 2. Recipient: pilot flying. Reason: boost pump degrading. Required action: select crossfeed, run the FUEL PRESS checklist. Deadline: before top of descent. Consequence of inaction: possible engine fuel starvation. Filling the slots forces a discovery — roughly half the old "FUEL" firings were a low-level advisory with no crew action at all. Those cannot complete the action slot, so under the template they are demoted out of the caution channel into a maintenance log the crew reads on the ground. What remains in the amber tier is a small set of firings that each name a move a pilot can make right now. The redesign follows the "dark cockpit" idea: a well-built flight deck stays quiet unless something genuinely needs a hand on a control.

How it works

  • Required slots. Condition, recipient, reason, action, deadline, consequence. The action and consequence slots are load-bearing; if either is empty, the firing is not actionable.
  • The completion gate. A firing that cannot fill every slot is not eligible for high-salience routing — it is downgraded to a passive channel, folded into a digest, or removed. The template's entire leverage is this refusal.
  • Standardized phrasing. Each slot has a house style: plain words, no unexpanded acronyms, a named action verb, so the same firing renders legibly to a color-blind, non-native-reading, or task-saturated receiver.
  • Author-time, not fire-time. The template is applied when a signal type is designed, so the discipline is paid once and inherited by every future firing.

Tuning parameters

  • Required-field set — which slots are mandatory versus optional. Making consequence mandatory exposes bluffing ("interrupt me or else… nothing"); making it optional speeds authoring but readmits anxiety-transport alerts.
  • Gate strictness — whether an incomplete firing is downgraded, held for author fix, or hard-blocked. Stricter gates purge nuisance faster but risk suppressing a real-but-awkward signal.
  • Consequence explicitness — how concretely the "or else" must be stated. Vivid consequences aid triage but invite urgency inflation if every alert claims catastrophe.
  • Phrasing standardization — how rigidly house style is enforced. Tight standards aid accessibility and scanning; loose ones let authors add nuance.

When it helps, and when it misleads

The template's strength is that it kills the most common way a channel goes bankrupt: firings that transport worry without naming a move. By refusing salience to any signal that cannot state an action, it keeps the channel populated only by firings a receiver can actually do something about — which is what preserves the channel's authority over time.

Its failure mode is template theater: authors learn to fill the slots with boilerplate — a required action of "investigate," a consequence of "as appropriate" — so the form is complete but the firing is no more actionable than before. A tidy template can thus launder an unactionable alert into apparent legitimacy. The classic misuse is over-templating trivia, forcing genuinely passive information into an action-shaped mold it doesn't fit. The guarding discipline is a periodic read of a random sample of live firings, asking of each only "could a receiver name the action from this text alone?" — an informal spot-check, not a scored audit — and demoting the ones that fail.
