A consultation asks people what they think of something already built; a Co-Design Workshop puts the design tools in their hands while the thing is still soft. It is a generative working session in which affected knowers do not merely react to options but produce them — sketching, sorting, mocking up, arguing a prototype into a different shape — so that their situated knowledge enters the artifact as concrete design choices rather than as sentiment to be summarized later. Its defining move is that influence is exercised on the object in real time: the deliverable that leaves the room is different because those people were building it, and the change is visible in the design, not just in a report about the design.

Example

A city transit authority is rebuilding its journey-planner app and keeps getting the accessibility features wrong — the "step-free route" toggle is buried, the contrast is unreadable in sunlight, the audio announcements assume you can also see the screen. Instead of usability-testing a finished build, it runs a series of co-design workshops with blind and low-vision riders, wheelchair users, and riders with cognitive disabilities. The facilitators bring paper prototypes and a magnetic board of interface pieces. Participants rebuild the home screen: they move the accessibility filter to the top, invent a "tell me when to get off" mode nobody on the product team had imagined, and reject the color scheme by holding printouts under a work lamp. A screen-reader user and a sighted designer sit at the same table translating between "I need the next stop announced twice" and a specific interaction spec. To make participation fair rather than extractive, riders are paid for their time at a real hourly rate, sessions are capped in length, and no one is asked to relive a distressing travel experience to justify a feature. What ships is an interface whose structure was authored, in part, by the people it is for.

How it works

The session is built around making the design manipulable by non-designers: low-fidelity materials (paper, cards, sticky notes, clickable mock-ups) that anyone can rearrange, so expertise in the domain matters more than expertise in the tool. A translation discipline runs throughout — professional designers and affected participants pair to convert lived requirements into design language and back, checking each other rather than one silently overruling the other. Proposals that survive the room are carried into the actual artifact as commitments, not suggestions, which is what makes the channel consequential. Around all of this sits a burden guardrail: fair compensation, bounded session length, and a rule against demanding painful disclosure as the price of being heard. The workshop's product is a revised design; its process guarantee is that the revision was co-authored.

Tuning parameters

  • Prototype fidelity — paper and cards versus interactive builds. Low fidelity invites bolder restructuring; high fidelity gets precise feedback but quietly narrows what participants feel free to change.
  • Authority of the output — are the room's design choices binding, advisory, or subject to veto by the product team? The more binding, the more real the channel and the higher the stakes of who is in the room.
  • Composition and pairing — who sits at each table, and whether affected knowers are paired with makers. Pairing speeds translation but can let the professional set the terms.
  • Compensation and burden ceiling — pay rate, session length, and how much emotional labor is asked. Raising the floor widens who can afford to attend; ignoring it re-excludes the already-excluded.
  • Facilitation intensity — how actively facilitators redistribute airtime. More structure protects quieter participants but can feel managed.

When it helps, and when it misleads

Its strength is that it converts knowledge into form at the point where form is still cheap to change, catching design errors that only lived experience can see and giving participants authorship rather than opinion. It draws on the participatory-design tradition, where the people who will use a system help build it rather than merely evaluate it.[n1]

Its failure mode is "design tourism": a photogenic workshop whose outputs are politely archived while the real decisions are made elsewhere, or a room stacked with the most confident participants so the design encodes their preferences as everyone's. It can also over-ask — extracting hours of unpaid, emotionally costly labor from people who have already borne the exclusion. The guarding discipline is to make at least some outputs binding and to protect participants' time and safety as a design constraint, not an afterthought; a workshop that takes knowledge but grants neither influence nor fair terms is extraction wearing a friendly format.
