Analytic memo — instantiates Theory-Responsive Case Sampling Design

Records the current category, the open gap, and the reason for the next case before it is collected.

A Grounded Theory Sampling Memo is a short, prospective analytic note written before the next case is collected. It records three things in sequence: the category or property currently under construction, the specific gap or ambiguity that category leaves open, and the reason this next case is the one to pursue. It is single-case and forward-looking — the unit is "the next selection," and its whole job is to make that one choice reasoned and legible in advance, so that adaptive sampling stays honest rather than sliding into picking whatever is convenient and rationalizing it later. The memo is where analytic curiosity is forced to declare its intent.

Example

A sociologist is studying how community gardens govern their shared plots. Fieldwork so far has produced a working category, conflict escalation over water access, seen in three gardens that all happen to employ a paid coordinator. Before choosing the next site, the researcher writes a sampling memo. It restates the current category, then names the gap plainly: every garden observed so far has a paid coordinator — is the escalation pattern something the coordinator's presence produces, or is it structural to shared resources regardless of who manages them?

From that gap the memo proposes the next case: a fully self-governed garden with no coordinator at all, and writes the learning question it must answer — does water-access conflict still escalate the same way when no paid authority mediates it? The rationale is recorded and dated before the researcher even contacts the garden. When the site later turns out to escalate faster, not slower, the memo is what proves the researcher went looking for a real distinction rather than backfilling a story. The next memo starts from the newly sharpened category.

How it works

  • Restate the current category. Open with the property under construction, so the selection is anchored to the actual model state.
  • Name one open gap. Isolate the single ambiguity, missing relation, or untested context that most needs the next case.
  • Propose the case that closes it. Identify the specific case whose analysis would speak to that gap.
  • Write the learning question and rationale. Fix the question the case must answer and the reason it was chosen — before fielding, so intent is on record.

Tuning parameters

  • Memo length and cadence — a terse note per selection versus a fuller reflective memo. Longer memos capture more reasoning but slow the loop and tempt over-theorizing ahead of data.
  • Look-ahead depth — memoing only the immediate next case versus a short queue. A queue is efficient but risks committing to selections before the intervening case has revised the model.
  • Question tightness — a narrow, answerable learning question versus a broad exploratory one. Tighter questions yield cleaner learning but can miss the unexpected.
  • Alternatives noted — whether the memo records the candidate cases not chosen. Recording them guards against tunnel vision at the cost of extra writing.

When it helps, and when it misleads

Its strength is that the memoing discipline is what keeps theoretical sampling reconstructable and honest: each selection carries a written, pre-dated reason tied to the model state, so the sequence can later be shown to have followed the analysis rather than the analyst's hunches.[1] It is the smallest unit at which adaptivity is made accountable.

Its failure mode is memo theater — writing memos that dress up a case already chosen on gut or convenience, so the record looks principled while the reasoning ran backwards. A close cousin is tunnel vision, fixating on one gap while the model's other weaknesses go unsampled. The guarding discipline is a quick self-check that the memo names a genuinely open gap with more than one plausible outcome, not a foregone conclusion the chosen case is guaranteed to confirm.
